If a mistake is made while creating an invoice, it can be easily voided and reissued as a new invoice.
Note: This is only available to Sent invoices, invoices in the paid state need to be moved back to Sent prior to using this flow.
Enabling Void and Reissue
Prior to using this feature, a provider admin may need to turn the feature on for the necessary roles.
To do this, they will need to take the following steps:
- Navigate to Access Management under Settings
- Select the relevant user role from the Roles list on the left hand side
- This feature is only available to admin users including the following roles:
- Provider-Admin
- Office Staff
- Finance Member
- This feature is only available to admin users including the following roles:
- Locate the Void and Re-Issue flag
- If disabled, click the grey Disable button to enable it
- If enabled, a green Enable button will be present and no further action is required
How to Void and Reissue a Sent Invoice
When enabled, and signed into the system as an admin user (Provider-Admin, Office Staff, Finance Admin) you can take the following steps to void and reissue a sent invoice.
When the Status is Sent
- Navigate to Invoices
- Locate the invoice that needs to be duplicated
- If the status is Sent
- Click Void and Reissue
- Confirm the details in the Create Invoice window making any necessary corrections
- Click Void and Reissue in the Create Invoice window
When the Status is Paid
If the invoice status is paid, you can only void and reissue if you first move the invoice back to paid.
To do this, you will need to confirm that the feature is turned on. Please take the following steps to confirm if this is enabled for your role:
- Navigate to Access Management under Settings
- Select the relevant user role from the Roles list on the left hand side
- This feature is only available to admin users including the following roles:
- Provider-Admin
- Office Staff
- Finance Member
- This feature is only available to admin users including the following roles:
- Locate the Invoice - Revert Paid Invoice to Sent flag
- If disabled, click the grey Disable button to enable it
- If enabled, a green Enable button will be present and no further action is required
Once you have confirmed that the Revert Paid Invoice to Sent feature is enabled, you can take the steps outlined above for when the invoice is sent.
- Navigate to Invoices
- Locate the invoice that needs to be duplicated
- If the status is Sent
- Click Void and Reissue
- Confirm the details in the Create Invoice window making any necessary corrections
- Click Void and Reissue in the Create Invoice window
- Navigate to Invoices
- Locate the invoice that needs to be duplicated
