A provider or provider-admin can set up an availability for 1 provider and for 1 location for multiple services.
To access availability from the calendar:
1. Go to "Calendar" and click on "View Availability" toggle in the top right corner of the calendar.
2. Click “New Availability” in the top right hand corner or click-and-drag on the calendar for the start and end times you want for the availability.
3. In the "New Appointment Schedule Template" pop up, you will be able to create new availability templates and time off templates.
4. Click on "Availability" to schedule provider's availability. You can click on "Time Off" and set what days and times the provider is NOT available for the service at that location
5. Type a Name for the schedule template. We recommend a shorter descriptive title for future reference when viewing or editing the availability
6. Select a Location. If you are setting up availability templates for our online booking feature, please ensure that the location you are selecting when has online booking enabled.
7. Select a Health Care Service to which the schedule template will apply. If you are setting up availability templates for our online booking feature, please ensure that the healthcare service types selected are enabled for online booking.
8. Select one Provider to which the schedule template will apply.
9. (Optional) Enter a Description. You can use this section to type out a longer description.
10. (Optional) Select a Colour that will identify the template on the Calendar.
11. Enter a Start time.
12. Enter an End time.
13. Please note that the timezone cannot be changed in this view. Timezone can be configured from Profile Settings.
14. Enter a Recurrence as required:
- None - Will only happen once (on the From date)
- Daily - Every day between the “From date” to the “until date”, the provider is set to be available between the start and end times
- Weekly - Here you can select the day(s) of the week the provider would be available. So then every one of those days (i.e. Mon-Sun) between the “From date” to the “until date”, the provider is set to be available between the start and end times
- Biweekly - Here you can select the day(s) of the week the provider would be available. So then every one of those days (i.e. Mon-Sun) for every other week between the “From date” to the “until date”, the provider is set to be available between the start and end times
15. Enter the start date of the template in the Recurring From field (if applicable)
16. Enter the end date of the template in the Recurring Until field (if applicable)
17. Click Create to save the schedule template.
To edit or delete existing Provider Availabilities:
1. Go to "My Organization" and select "Template Manager".
2. In "Template Manager", you will be able to edit, delete or create new availability templates.
3. To create a new availability template, click "New Availability" in the top right corner and follow the steps as described in steps 3 to 17 above.
4. To edit or delete an existing availability template, click on the pencil icon under "Actions" for the availability template that you wish to edit or delete.
- To edit the existing template, simply edit the fields you wish to change and then click "Update in the top right hand corner.
- To delete an existing template, click "Delete" in the top right hand corner.
