Table of Contents
The Patient Merge feature allows you to identify duplicate profiles and 'merge' them into each other. Each record will still exist on the platform, however only one will remain active to avoid confusion over which profile needs to be actioned.
High vs Low Probability Matches
The system will nightly review the client's on your platform and group potential duplicates as either a high or low match.
Low Probability Criteria
Profiles will be flagged as a low probability match if the following are matching

Email Only OR
-
Full Name Only OR
-
Full Name + DOB OR
-
Phone + DOB
High Probability Criteria
Profiles with the following information will be flagged as a high probability of matching
-
HIN + DOB OR
-
Email + DOB
Merging Single Client Record
To check for and merge duplicate records please do the following:
- Click on Patient Merge on the left navigation bar
- To view high probability matches click on the High Potential Matches tab, to view low probability matches click on the Low Potential Matches tab
- Potential matches will be listed with one of the following statuses
- Needs Review - The match can be reviewed and merged if appropriate
- On Hold - Means that the record has multiple matches, one of which has been merged
- Error - Something went wrong when trying to merge the record
- Click View to view the details in the two profiles
- Any details that differ between the profiles will be displayed in red
- After reviewing the details click Make this Record Primary to merge the details, or close the window
- The primary record will be kept and the other will be deactivated
Note: Accounts successfully merged will be flagged with a banner indicating that it has been merged and with what account.
Merging Multiple Client Records
To bulk merge records you take the same steps as above, but instead of clicking View you do the following:
- Select the matches you would like to bulk update by clicking the checkbox to the left of their name
* Or select ALL by clicking the checkbox at the top of the column - Click the now visible Bulk Merge button
- Select Yes, Merge Selected in the window that opens to merge the records or No, Cancel if not. With bulk merges the primary record is selected based off of which record has more appointments.
Note: Accounts successfully merged will be flagged with a banner indicating that it has been merged and with what account.
