An external provider is a healthcare provider outside your clinic, such as a family doctor, specialist, or pharmacy. When you save them as an external provider, their contact details and fax number are kept in your account. After that, you can fax session notes and eForms to them in a few clicks, without typing their fax number each time.
Use external providers for anyone you regularly send patient information to, like a referring doctor who needs a copy of a visit note.
This feature is only available to users with admin access: the Provider Admin and Office Staff roles.
Step 1: Go to External Providers
In the left-hand menu, click Settings, then click External Providers. You will see a list of the external providers already saved for your organization.
You can also click here.
Step 2: Open the Create External Provider Window
Click the New Provider button in the top-right corner of the list. The Create External Provider window opens.
Step 3: Enter the Provider's Details
Fill in the provider's information:
- Salutation: for example, Dr. (optional)
- First Name and Last Name (required)
- Phone Number (optional)
- Fax Number (required). Check this number carefully. This is where your session notes and eForms will be sent.
- Billing Number (optional)
- Address and Apt/Suite/Floor (optional). Start typing the address and choose the match from the list.
If your organization has extra fields turned on, you may also see External Type and Organization Name. Fill these in if they apply.
Step 4: Save the External Provider
Click Save. The provider now appears in your External Providers list.
Step 5: Fax a Session Note or eForm to the Provider
When you choose to fax a session note or eForm, search for the external provider by name and select them as the recipient.
Their saved fax number fills in automatically. Before you send, confirm that the recipient and fax number are correct.
